What Seed Quality Actually Means
Seed quality combines several measurable characteristics. No single test can confirm whether a lot is fit for your operation. A germination result may be high while physical purity is poor, or a clean-looking lot may carry a disease risk that requires additional testing.
The right standard depends on the crop, intended use, local regulations, seed treatment, and delivery conditions. Hybrid vegetable seed, forage seed, grain seed, and cover-crop mixtures each require different levels of scrutiny. A buyer importing seed for resale also needs stronger documentation than a grower purchasing a small local lot for immediate planting.

Ask for documents before the shipment leaves the supplier. This step is fast, inexpensive, and often reveals whether a supplier has dependable quality controls. Documents should identify the exact lot, not merely the variety or product line.
At minimum, request a current seed analysis certificate or test report that states the crop, variety where applicable, lot number, test date, sample date, purity result, germination result, and any declared treatment. If seed will cross borders, verify the phytosanitary certificate requirements, import permit requirements, country-of-origin details, and labeling rules for the destination market.
Test dates deserve close attention. Germination declines over time, especially when seed has been stored under warm or humid conditions. A report that was valid when issued may not represent the lot arriving at your warehouse six months later. For long transit routes or uncertain storage histories, arrange a retest upon arrival.
Also compare paperwork against the purchase order and package label. The species, variety, lot number, net weight, treatment declaration, and number of bags should match. A mismatch does not always mean fraud, but it should stop acceptance until the supplier explains it in writing.
Questions to Ask a Seed Supplier
Before placing a larger order, ask how the supplier samples lots, where testing is performed, and whether the laboratory follows recognized seed-testing methods. Clarify whether the stated germination is a minimum contractual guarantee or simply a historical result.
You should also ask about storage conditions, packaging type, seed treatment, shelf life, and the procedure for handling a failed arrival test. Reliable suppliers can explain these points clearly and provide lot-specific records. Vague answers, relabeled bags without traceable lot codes, or pressure to buy before documents are available are practical warning signs.
Inspect the Physical Seed Lot on Arrival
Document inspection protects the purchase. Physical inspection protects the planting plan. Check every delivery before it is mixed into inventory or moved into long-term storage.
Start with the outside of the shipment. Bags should be intact, dry, and clearly labeled. Look for water staining, torn seams, holes, loose closures, insect activity, or signs that pallets were exposed to weather. Condensation inside packaging is especially concerning because it can quickly reduce quality during storage.
Open representative bags and inspect seed under good light. Seed should have reasonably uniform size, color, and appearance for the crop and variety. Look for broken seed, shriveled seed, excess dust, foreign material, mold, insects, unusual odor, and untreated seed where treatment was specified. For coated or pelleted seed, check whether the coating is consistent and whether excessive cracking has created dust or exposed the seed.
A field-ready inspection kit can include a clean sample tray, labels, permanent marker, camera, moisture meter suited to the crop, scale, sample bags, and a simple magnifier. The goal is not to replace laboratory testing. It is to identify issues early, preserve evidence, and decide whether the lot should be accepted, held, or sampled for independent analysis.
Sample Correctly Before Sending Seed for Testing
A poor sample can produce a misleading laboratory result. Do not take one scoop from the top of a bag and treat it as representative of a truckload or container.
Take small primary samples from multiple bags or locations across the lot. For bulk deliveries, sample at intervals during loading or unloading when possible. Combine and mix those primary samples according to your testing plan, then divide them into a submitted laboratory sample and a retained reference sample.
Keep the retained sample sealed, labeled, and stored under appropriate conditions. Record the supplier name, delivery date, lot number, bag count, sampling method, sampler, and photographs of the packaging. If a claim arises later, this chain of custody can be as valuable as the test result itself.
Independent testing is particularly worthwhile when the order is high value, seed is imported, the crop has strict varietal requirements, or the lot will be used for contract production. It is also sensible when the visual inspection and supplier report do not align.
Choose Tests Based on Risk, Not Habit
Not every seed lot needs every possible test. A practical inspection program matches testing costs to the possible cost of failure.

Vigor testing deserves consideration when planting conditions are likely to be stressful. Standard germination is normally measured under favorable laboratory conditions. Do not blend it with other seed or distribute it to customers while testing is pending.
Rejecting a lot may be appropriate when it fails contractual specifications, contains prohibited contaminants, has evidence of disease or live insects, or cannot meet import and labeling requirements. Make the decision against agreed written specifications, not a general impression that the seed “looks poor.”
Sometimes acceptance with conditions is the commercial answer. For example, a lot with lower-than-expected germination may still be usable if regulations allow it, the seed is accurately relabeled, the seeding rate is adjusted, and the price reflects the limitation. That approach only works when the buyer understands the agronomic consequence and records the agreement clearly.
Protect Seed Quality After Acceptance
Inspection does not end at receiving. Store seed in a clean, dry, pest-managed area away from direct sun, standing water, and major temperature swings. Keep bags off the floor and away from exterior walls. Use lot-based inventory control so older stock is reviewed first and traceability remains intact.
For distributors, connect every warehouse location and customer shipment to the original lot number. This makes retesting, customer communication, and corrective action much faster if an issue is identified later. For growers, retain labels and purchase records through the crop cycle, especially for high-value seed or crops produced under contract.
The strongest seed buying programs do not rely on trust alone or testing alone. They combine credible suppliers, clear specifications, disciplined receiving checks, and records that support quick action. That is how seed moves from a marketplace purchase to a more dependable start in the field.
